Balcones Recycling East is a leader in the municipal recycling industry. Balcones Recycling was established in 2003 and soon became the cornerstone of the New York City curbside recycling program. Job Summary
The Administrative Assistant assists the Facility Manager and operations as needed to support production, procurement, inventory and maintenance. Will frequently interface with other administrators to generate necessary paperwork and reports to satisfy Operating agreements.
Major Job Responsibilities
- Generate key operating cost reports for the following but not limited categories: wear parts, consumables, mobile equipment costs by asset number, key fixed asset cost by asset number, labor and overtime.
- Assist Facility Manager with project specific tasks including: day-to-day production data input. Daily, weekly, monthly and annual reports to be submitted to client(s); provides reports related to product and residue composition sorts; compile, review and report on scale tickets; compile and submit invoicing; coordinate with accounting and procurement departments
- Month end spending review for accuracy, timing and correct expense categories
- Organize daily equipment inspection reports maintenance mechanic sheets; monitor and assist in critical spares inventory control spreadsheets. Place orders as needed, maintain fixed equipment PM tracking information. Generate asset work orders and history reports
- Safety reporting support
- Maintain relationships/agreements with external partners and vendors
- Purchase requisition support. Follow up on parts to be received for critical repairs, communicate with key vendors to resolve invoicing reconciliation and job status issues. Monitor key vendor Pos for status and payment
- Perform other duties as assigned
Job Qualifications
- High School or GED equivalent
- Previous managerial skills in a diverse, fast-paced manufacturing/production environment
- Strong analytical skills
- Demonstrated ability to follow procedures and work from a set of written instructions
- Intermediate computer skills
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Must be organized and detailed-oriented
- Ability to multi-task, prioritize and be flexible with changing business needs
- Must speak and understand English; Spanish speaking is a plus
