Overview
Responsible for the general operation of our office. Duties will involve general administrative task, being the local point of contact for different teams in HQ, responsible to comply with global and local programs and policies. Support the local commercial and services teams.
An energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little supervision. Well organized, flexible, and enjoys the administrative challenges of supporting a regional office. Will need to be proficient English, have great communication skills. Knowledge of Microsoft Office applications such as Word and Excel. A bachelor's degree is required.
Responsibilities
- Overseeing general office operation.
- Greeting visitors, answering incoming phone calls and delivering world-class service to our customers.
- Purchasing office supplies and equipment and maintaining proper stock levels.
- Producing reports, composing correspondence, and drafting new contracts.
- Creating presentations and other local management-level reports.
- Maintain the office condition and arrange necessary repairs
- Overseeing Health and Safety in the workplace
- Partner with HR to update and maintain global and local policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment. Including inventory of assets.
- Partner with local and global finance and accounting team
- Partner with global contracts team to support the local team with required invoicing and contracts paperwork
- Manage contract and with office vendors, service providers and office lease
- Manage office G&A budget, ensure accurate and timely reporting
- Provide general support to visitors
- Assist in the onboarding process for new hire
- Developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Establish and monitor procedures for record-keeping
- Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
- Participate actively in the planning and execution of company events
- Design and implement office policies and procedures
- Oversee adherence to office policies and procedures
- And other duties as assigned.
Requirements
- A bachelor’s degree or equivalent.
- English level B2
- Must have exceptional attention to detail.
- Strong organizational and time management skills, and ability to prioritize
- Must be a self-starter and driven.
- Excellent communication and interpersonal skills
- Excellent organizational skills
- Office management experience.
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Fluent in English, both written and verbal
Additional Details
- Background Check: The successful candidate will need to successfully complete the following clearances: Criminal History Check, Education Verification, Employment Verification, Driver’s License Verification and Passport/ID validation.
- Visa Sponsorship: Employment eligibility to work with Quorum Software in Colombia is required as the company will not pursue visa sponsorship for this position. The successful candidate will be required to ensure they maintain and renew any visas or permits that grant employment eligibility where applicable.
- Current professional card or registration in Colombia (if applicable): The successful candidate will be required to present their professional card or registration information if the role is deemed to be regulated.
- Onboarding Medical: The successful candidate will be required to undergo an onboarding medical examination prior to commencement of employment, in accordance with Colombian legislation.
