RECRUITING OPERATIONS ASSOCIATE (REMOTE)
Note: This is a temporary, full-time role with the possibility of extended or permanent employment at the end of the initial term.
EnergeiaWorks is seeking an Operations Associate to support the premier recruiting agency working in the renewable energy industry for approximately a 3 month period. This position serves as the central hub of the company and a vital component of every part of the organization: administration, recruiting, business development, marketing, and events. Potential candidates should have strong interpersonal skills in-person, on the phone and via electronic communication. They will need to be polite, well-organized, able to manage and complete numerous disparate tasks, and ready to respond with appropriate levels of action as priorities develop and shift within each day and week. The Operations Associate will report to the Director of Operations and work extensively with colleagues, clients and candidates spread across the U.S. and Canada.
Responsibilities:
- Manage operations and coordination of recruitment process for team of executive recruiters.
- Perform professional reference checks for candidates in the final interview process and prepare summaries for distribution to clients.
- Create and distribute progress reports to clients to track active candidates and activity for search engagements.
- Research main points-of-contact at target organizations and maintain updated target lists for business development.
- Develop proposals for potential clients by assembling information including project nature, objectives, outcomes, deliverables, timelines, and budget.
- Maintain quality results by using templates, following proposal writing standards to ensure documents adhere to appropriate style and format.
- Work with the recruiting team on creating, updating, and maintaining job descriptions.
- Utilize project management tools to organize and manage workload and help the recruiting team achieve faster success.
- Create customizable dashboards to define, track, and manage project deliverables with interns.
- Promote active career opportunities on multiple social media channels on a day-to-day basis.
- Create and post promotional content for career opportunities and engaging and monitoring social conversation including prospective applicants in consideration.
- Utilize the Slack collaboration tool to streamline processes, improve team efficiency, and centralize team communication across multiple facets of the business with timely updates.
- Coordinate Database/Internet searches for all open assignments based on parameters given by the recruiting team.
- Create weekly progress reports for clients utilizing internal CRM.
- Manage 3rd party vendors for background checks, software vendors, print services, and job posting services.
- Support and manage planning for the Renewables UnWind networking event series. Including, liaise with vendors in the selection and purchase of various marketing collateral. Book venues, photographers, and hosts/hostesses for the Renewables UnWind networking series. Create and distribute partnership proposals for prospective sponsors
- Assist Chief Executive Officer with various ad-hoc administrative duties.
- Take on special team projects duties as needed.
Qualifications:
- Associates or Bachelors degree or equivalent education and experience desired.
- Must have excellent verbal and written communication skills as well as organizational skills.
- Must have the ability to manage multiple tasks simultaneously with close attention to detail.
- Must have the proven ability to work independently and from a virtual office setting.
- Must be proficient on Microsoft Office Suite, Google Docs, Google Calendar, CRM/ATS systems, and Slack.
- Experience with renewable energy or similar technical fields a plus.
