Major Function
We are seeking an experienced project manager to support our Communications team in a variety of daily activities and longer-term priorities including scheduling meetings, managing projects and processes, conducting research, tracking deadlines, orchestrating internal approvals, editing and formatting documents.
Key Responsibilities
- Manage and track communication-related projects, events and tasks, ensuring all deliverables meet deadlines. Coordinate and maintain calendars for Communications team members, including the editorial calendar. Monitors project timelines, deadlines, follow up on delegated tasks and provide timely reminders to ensure seamless project execution.
- Conduct research, support grantee communications and requests, and update the editorial calendar and the website as needed. Manage and organize digital assets such as photos, videos, ensuring proper categorization and usage.
- Support internal communications efforts, working with Communications colleagues and the broader staff to plan meetings and ensure effective information exchange across the organization. With the Chief Communications Officer, schedule meetings and ensure meeting agendas and materials are prepared and distributed promptly.
- Support events management, including logistics (e.g., meeting room bookings, AV-IT support, catering etc.) and agenda planning, interacting directly with attendees. May include coordination of off-site meetings, conferences, larger convenings, and other events and travel arrangements as applicable.
- Assist in preparing for meetings and engagements by ensuring Communications team members are fully briefed and prepared. Attend meetings to document critical commitments and required follow-ups, ensuring prompt action on all activities.
- Maintain strong relationships with colleagues across the organization to facilitate effective communications and timely responses. Act as a liaison with the Executive Office and Programs Teams to ensure alignment and collaboration.
- Plan, organize and implement team projects, tracking progress and updates in project management tools. Ensure collaboration and coordination with colleagues across the organization and with external vendors.
- Assist in routing communications materials for approval to internal and external stakeholders, ensuring timely feedback and necessary revisions.
- Review and process payments for credit card transactions, expense reports, and invoices as needed.
- Performs other duties as assigned.
Education and Experience: A bachelor’s degree in communications, journalism, or a related field or equivalent work experience is required. Three to five years of demonstrated experience successfully managing projects and supporting team operations is also required.

Physical Requirements and Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Some travel may be required.
- May require extended hours for urgent issues or to meet established deadlines.
- This position is based in Washington D.C.
Salary Range: $100,000 - $125,000
