Job Summary:
Under limited supervision, the Operations Specialist will perform operations and support functions related to the Operations Division of the Jekyll Island Authority. Duties include participating in planning sessions, operations fieldwork with department managers such as Roads/Grounds, Facilities, Fire/EMS, Landscaping, Water and Wastewater, Golf Course Maintenance operations, Jekyll Island Airport, and preparing operations reports. Using critical thinking skills assists with commercial construction activities and subcontractor oversight.
Description of duties:
- Assists with managing daily activities associated with supporting the Operations Division.
- Assists in planning, coordinating, and facilitating department reports/meetings/training.
- Coordinate documentation internally and with JIA Departments, contractors, and subcontractors.
- Manage small construction-related projects, keeping contractors and/or subcontractors on schedule and within budget.
- Appropriately resolves administrative issues, monitors workflow, and follows up on delegated tasks to ensure the progress of deadlines.
- Identify and streamline efficiencies with purchasing for the operations division and amenities.
- Assist with producing and managing the Request for Proposal (RFP/RFQ) process, including third-party studies and presentation materials for Departmental and JIA Board meetings.
- Ability to review and understand financial documents and budgets for projects and maintain a database of budget vs. expenses.
- Creates and distributes purchase orders, expense reports, and routine correspondence.
- Research to compile information needed to generate reports, complete projects, and accurately respond to questions and concerns.
- Analyzes problems, questions, and issues using higher-level critical thinking skills and develops and reports recommendations for resolving them.
- Assist with operations management and logistics supporting Jekyll Island events.
- Maintains an efficient and well-organized electronic filing system on One Drive and ensures items are archived and disposed of per record retention schedule.
- Assists with other projects relevant to the overall experience in the daily operation of Jekyll Island.
- May perform other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree in Business or related field with a minimum of one (1) years of related experience. OR
- High school diploma or recognized equivalent with a minimum of three (3) years of related experience.
- Mastery of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and MS Project. In-depth knowledge of Adobe Acrobat Suite.
- Excellent communication (oral and written), critical thinking, and organizational skills.
- Familiarity with construction-related activities, including blueprints and construction documents/contracts.
- Ability to handle sensitive, confidential information.
- Must be available to work during certain non-scheduled emergency situations.
- Must be self-motivated, have good customer service skills, and have good interpersonal skills.
- Self-starter that must have the ability to produce results with limited supervision.
- Must have a valid driver’s license.
- Regular attendance and punctuality are required.
Physical Requirements / Working Conditions
- Exert up to 50 pounds of force occasionally, 35 pounds of force frequently, and a negligible amount of force constantly to move objects.
- More than 50% of the typical workday will be spent reaching, grasping, and using repetitive motions of wrist, hands and fingers.
- More than 50% of the typical workday will be spent walking, standing, sitting, climbing stairs.
- Less than 50% of the day is spent crouching and/or stooping, kneeling, pushing, pulling and lifting.
- Must have visual clarity to prepare and analyze data and figures, transcribing, use of computers and expansive reading.
- Sensory abilities required include vision, feeling and touching with more than 50% of the day spent talking and hearing.
- Majority of work will be performed within an indoor office environment. Work may be conducted outside and/or in adverse environmental conditions with exposure to heat, humidity and cold weather.
- Noise level is usually considered quiet to normal with occasional exposure to loud noise.
