About the role
Reports To: Chief Executive Officer (CEO)

Summary:
The Executive Assistant to the CEO is a highly strategic role providing exceptional administrative, operational, and logistical support to ensure the CEO's optimal productivity and effectiveness. This position will act as a gatekeeper, critical liaison, and trusted partner to the CEO, handling complex tasks with the utmost discretion, efficiency, and exceptional attention to detail.
Key Responsibilities:
- Calendar and Inbox Management:
- Proactively manage the CEO's complex and dynamic calendar, prioritizing meetings and appointments.
- Screen and manage the CEO's email, responding independently to routine inquiries, flagging urgent matters, and preparing summaries.
- Coordinate all CEO travel arrangements, including flights, accommodations, itineraries, and ground transportation while ensuring a seamless and productive experience.
- Communication and Relationship Management:
- Act as the primary point of contact for internal and external executives, board members, and other key stakeholders, fostering strong relationships.
- Prepare professional and polished correspondence, reports, and presentations on behalf of the CEO.
- Facilitate effective communication and manage information flow between the CEO, executive team, and other departments.
- Meeting and Event Coordination:
- Schedule and coordinate executive meetings, board meetings, conferences, and company events.
- Prepare meeting agendas, gather and distribute materials, take minutes, and follow up on action items.
- Arrange logistics and catering for meetings and events.
- Project Support:
- Assist the CEO with special projects, conducting research, gathering data, and preparing reports or analyses.
- Handle confidential and sensitive information and documents with the utmost discretion.
- Track project timelines and deadlines, ensuring deliverables are met on time.
- Administrative Excellence:
- Manage expense reporting and reconciliation for the CEO.
- Prepare purchase orders and invoices, coordinating with relevant departments as needed.
- Maintain organized filing systems, both physical and digital
- Anticipate the CEO's needs and proactively address potential issues.
Qualifications:
- Bachelor's degree preferred, or equivalent experience.
- Minimum 5+ years experience supporting C-level executives.
- Exceptional organizational skills with relentless attention to detail.
- Ability to prioritize multiple tasks, adapt to changing priorities, and thrive in a fast-paced environment.
- Excellent written and verbal communication skills, exhibiting tact and diplomacy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of discretion, integrity, and ability to maintain absolute confidentiality.
