Job Title: Document Services Coordinator
Location(s); Portland, Or
General Purpose:
The Document Services Coordinator provides contractual document support for Vestas, the major global provider of wind power plant solutions, in the United States and Canada. The Document Services Coordinator: handles intermediate to complex word processing and related requests, PDF document processing, document conversions and repairing, creates redlines, reviews documents for grammar and punctuation, and interacts with global legal and business colleagues on strategic initiatives. This position will support Vestas’ onshore sales business unit headquartered in Portland, Oregon and other business units throughout the United States and Canada as needed. This position will report to the Contract Document Manager. This is a full-time, hybrid work structure combining remote work with on-site presence at Vestas’ North American headquarters in Portland, Oregon.
Responsibilities:
- Handle intermediate to complex word processing and other requests for various transaction contract documents including Word and PDF document formatting and repairing;
- Review documents for grammar and punctuation;
- Store documents in appropriate files;
- Document conversions and repairing (e.g., convert PDF to Word with appropriate formatting);
- Create legal redlines;
- Create templates;
- Work closely with and effectively support Vestas company lawyers and business colleagues;
- Collaborate with employees of all levels and cultures within a global organization;
- Promote and deliver on systems, processes, guidelines and forms that increase the efficiency of document services;
- Perform the Essential Functions listed below;
- Perform all other responsibilities as assigned.
Essential Functions:
- Advanced work [proficient] in Microsoft Office computer skills Windows, Word, Excel, Power Point, Outlook), Adobe Acrobat Pro, Litera and other legal contracting software programs;
- Ability to follow instructions
- Ability to autonomously complete tasks
- Able to complete responsibilities in a timely, professional and quality manner
- Ability to interact frequently with others in a professional, courteous manner
- Flexibility with daily tasks and changing priorities
- Effectively and accurately complete document processing assignments;
Education, Trailing and Skills Required:
- Associates degree, professional training or experience in lieu of education;
- Excellent typing and editing skills;
- Data organization skills;
- Attention to detail;
- Enthusiasm for issue spotting and business learning;
- Ability to consistently produce one-pass work with minimal to zero quality checks;
- Good verbal and written communications;
- Proven natural ability to work in teams, high degree of commitment & flexibility, high desire to learn new skills & knowledge, good work ethic, dependability &dedication to team/company, personal desire/value to produce quality work, and ability to perform with little supervision.
- Proactive offering of solutions when potential problems are foreseen;
- Aptitude for learning new technologies and processes;
- Experience working with documents in a legal organization setting (Preferred);
- Ability to excel in an exciting and complex work environment;
- Ability to prioritize among competing urgent matters and allocate resources for maximum impact.
