Under limited supervision and maintaining strict confidentiality, The Development and Member Services Associate provides administrative support to the Development and Membership departments as part of the Toledo Zoological Society Foundation. This involves performing general administrative duties, coordinating donations and gifts, producing acknowledgment letters, labels and mailings for several donor and sponsor programs, and assisting with membership processing as needed, along with other special projects. Reports to the Vice President of Development & Membership. This position is Non-exempt under the Fair Labor Standards Act and requires forty hours per scheduled work week.
Essential Job Functions:
- Provides support and assistance to the Development/Membership Department and the programs within these departments. Includes data entry and administrative services such as preparing donor acknowledgment letters; processing and tracking donations, invoicing, distributing Companies for Kids tickets, and producing queries and reports.
- Provides administrative support for various fundraising programs and events, corporate sponsorships, Silverback Society, and TZ Bird Club.
- Maintains database for multiple gift donors.
- Maintains general departmental files.
- Maintains supplies of various department brochures and supplies.
- Receives reviews, prepares, and/or submits various reports and records including data entry reports, donor reports, purchase requisitions, and general office correspondence.
- Assists with the processing of Community Partner Memberships and general membership processing as needed.
- Maintains administrative office incoming and outgoing mail operations including sorting, processing, and compiling the daily deposit.
- Utilizes various types of equipment and machinery including computer, printer, copier, radio equipment, fax machine, and general office supplies.
Additional Job Functions:
- Utilizes various types of equipment and machinery including computer, printer, copier, radio equipment, fax machine, and general office supplies.
- Works with donors and prospective donors to answer questions regarding various funds and donations.
- Must be able to work some nights and weekends as needed.
Minimum Training and Experience:
Vocational/technical school training in administrative or computer services, and two years of administrative office experience or any equivalent combination of education and experience. Familiarity with non-profit data-base and processing donations is helpful.
