Providing pivotal support at a high level, directly supporting the ESD Practice Partner and wider team with significant responsibilities.
The role
The ESD Practice is seeking an accomplished Practice Administrator based in Melbourne on a permanent, full-time basis. As an integral part of the team, this role involves providing remote and in-person support to the Partner and during busy periods the wider ESD team, with a specific focus on supporting and managing the high-level administrative responsibilities of the Partner. In addition, you will work closely with the Resource Operations Manager to ensure seamless administrative support to the business nationally.
Key responsibilities
- Provide high-level secretarial and administrative support for the Partner of our ESD Practice, and wider ESD team when volumes require
- High-level diary management with an emphasis on organising client meetings. Facilitating travel arrangements when required for the Partner, ensuring precision and confidentiality
- Assist with the preparation and processing of pre-bills and accounts on a monthly basis, and client reporting requirements
- File management and handling including opening and closing files and matters
- Undertaking conflict searches on firm data base, preparing conflict emails
- Reviewing third party invoices and preparing client Work Orders
- Handle telephones and voicemail for team members with a focus on professionalism and efficiency
- Manage general accounts, reporting, monthly billing, and expenses with a keen eye for detail
- Administer quality and risk responsibilities for the ESD team, ensuring compliance at the highest level
- Team player and willing to step in and assist other ESD team members
- Provide support to the Resource Operations Manager when required
Skills & Experience
To excel in this high-level role, you need:
- Proven and distinguished experience in an administrative, secretarial role
- A flexible approach with a demonstrable drive to contribute to the business's profound success
- The ability to build and nurture positive relationships with colleagues
- Strong multitasking and prioritization skills, especially in high-pressure situations
- Advanced technical skills (Outlook, Word, Excel, and PowerPoint) with meticulous attention to detail
- Professionalism in communicating / organising meetings with high-level internal and external stakeholders
- Experience in billing processing using Aderant Expert software is desirable
