Position Summary:
Reporting to the Payroll & Total Rewards Manager, the Payroll and Benefits Coordinator is a professional individual contributor responsible for supporting the accurate and timely delivery of payroll, benefits, pension, and compensation administration for Canadian employees.
POSITION TASKS AND RESPONSIBILITIES:
PAYROLL:
- Prepare, process, and reconcile full‑cycle bi‑weekly payroll for hourly and salaried employees across multiple jurisdictions in accordance with legislative requirements, company policies and complex union contracts.
- Administer payroll‑related changes including new hires, terminations, earnings, deductions, benefits enrolments, and status changes within the HRIS and timekeeping systems.
- Review payroll data for accuracy, identify discrepancies, and liaise with payroll vendors and internal partners to resolve issues in a timely manner.
- Prepare, analyze, and distribute recurring and ad‑hoc payroll and benefits reports to support audits, reconciliations, and decision‑making.
- Support year‑end payroll activities, including reconciliations, adjustments, and T4 preparation.
- Respond to employee payroll inquiries with a high standard of customer service, providing clear and accurate information.
- Maintain payroll systems and employee records to ensure data accuracy, completeness, and confidentiality.
- Support internal and external audits by preparing documentation and responding to inquiries as required.
BENEFITS:
- Administer the Canadian benefits program, including new hire enrolment, employee changes, terminations, and life event updates.
- Coordinate benefit premium deductions and employer contributions within the payroll system to ensure accurate costing and reporting.
- Administer pension plan contributions, enrolments, and reconciliations in accordance with plan rules and regulatory requirements.
- Support the administration of short‑term and long‑term disability programs, including coordination with vendors, employees, and internal stakeholders.
- Reconcile benefit provider invoices, investigate variances, and submit invoices for payment.
- Serve as a primary point of contact for employee benefit inquiries and liaise with benefits providers to resolve issues efficiently.
- Prepare benefits utilization, claims, and cost reports as required.
REQUIRED QUALIFICATIONS:
- Post‑secondary degree or diploma in Human Resources, Payroll, Business Administration, or related discipline.
- 1–2 years of hands‑on full-cycle payroll processing experience.
- Experience processing multi‑provincial payroll, including exposure to unionized environments, is considered an asset.
- Experience with Oracle HCM, ADP GlobalView, and/or Kronos Workforce Ready is considered an asset.
- Payroll Compliance Professional (PCP) designation completed or actively in progress.
- Demonstrated ability to work with complex data sets and maintain a high level of accuracy.
- Strong organizational, prioritization, and time‑management skills in a deadline‑driven environment.
- Self‑directed with the ability to work independently while collaborating effectively with cross‑functional partners.
- Proven ability to maintain confidentiality and exercise sound judgment.
- Bilingual French/English is an asset
PHYSICAL REQUIREMENTS:
- Ability to safely and successfully perform the essential job functions consistent with the AODA, ESA, OHSA and other federal, and provincial standards, including meeting qualitative and/or quantitative productivity standards
- Ability to maintain regular, punctual attendance consistent with the AODA, ESA, OHSA and other federal, and provincial standards
- Must be able to sit at a desk and use a computer monitor for extended periods of time (up to 2 hours at a time)
- Must be able to talk, listen and speak clearly on telephone
- Walking, sitting for prolonged periods of time.
- Lift up to 20 lbs.
- Position includes utilization of computer systems in the office.
