The Executive Assistant advances DZCA’s mission and goals by providing high-level administrative and operational support to members of the Executive Team. Reporting to the Chief Human Resources Officer, this role ensures the effective coordination of executive calendars, meetings, communications, and administrative processes that support the leadership team’s ability to operate efficiently and advance organizational priorities.
This role partners closely with the Executive Assistant & Board Liaison to the President & CEO to ensure seamless coordination across the Executive Office. While the Executive Assistant & Board Liaison focuses on direct support to the CEO and Board of Governors, this role primarily supports the broader Executive Team, including leaders across finance, human resources, conservation, and other executive functions.

Essential Duties and Responsibilities
Administrative Team Administrative Support
- Manage complex calendars and meeting logistics for assigned members of the Executive Team, prioritizing competing demands and ensuring effective use of executive time.
- Coordinate meetings, retreats, and leadership planning sessions, including scheduling, logistics, materials preparation, and documentation.
- Prepare, edit, and format executive correspondence, reports, presentations, and briefing materials with a high degree of accuracy and professionalism.
- Track meeting action items and support follow-through on leadership priorities and initiatives.
- Coordinate travel arrangements and support expense reconciliation for executives when needed.
- Organize and maintain electronic and physical filing systems for executive documents and records.
- Exercise sound judgment and maintain strict confidentiality when handling sensitive organizational and personnel information.
Executive Team Project Coordination
- Support the coordination of Executive Team meetings and quarterly leadership offsites, including agenda development, preparation of materials, and documentation of key outcomes.
- Assist with the preparation and distribution of leadership materials and reports to support decision-making and organizational alignment.
- Track executive decisions and action items to support accountability and progress across leadership initiatives.
- Serve as a professional point of contact between executive leaders and internal teams, ensuring clear and timely communication.
Administrative Community Coordination
- Serve as a resource and convener for administrative professionals across DZCA to encourage collaboration, shared best practices, and coordination across departments.
- Support the development of shared administrative tools, templates, and systems that improve consistency and operational efficiency.
- Partner with the Executive Assistant & Board Liaison to ensure continuity of operations within the Executive Office.
- Provide backup administrative support for the Executive Assistant & Board Liaison when needed to maintain continuity of Executive Office operations.
Other Responsibilities and Duties
- Other assistance, as designated by the Executive team, to support the overall goals of the department and organization. DZCA retains the right to add or change duties and/or responsibilities at any time.
- Acts as a good steward of the DZCA's resources.
- This position will interact with managers at all levels and staff members across the organization, in addition to members of external organizations.
- The nature of this position requires safeguarding against the release of confidential and proprietary information of DZCA.
Technical / Professional Requirements & Qualifications
- A Bachelor’s degree in Business Administration, Project Management, Communications, or a related field is preferred.
- Minimum of 5 years of experience in executive support, project management, or operations, with demonstrated ability to manage projects from start to finish. Experience in a nonprofit, conservation, or mission-driven environment is preferred, or any equivalent combination of experience, lived experience, and/or special skills will be considered.
Knowledge, Skills, and Abilities:
- Communication Skills: Excellent written and verbal communication skills with the ability to prepare professional reports, presentations, and correspondence.
- Organizational & Time Management: Ability to manage multiple competing priorities and deadlines in a fast-paced environment.
- Executive Support Expertise: Experience managing complex executive calendars, meetings, and administrative workflows.
- Technology Proficiency: Strong proficiency in Microsoft Office, Google Workspace, and modern collaboration tools.
- Confidentiality & Judgment: Ability to handle sensitive information with discretion and professionalism.
- Information Management: Ability to organize, summarize, and present information clearly to support leadership decision making.
- Initiative & Problem Solving: Proactive approach to anticipating needs, resolving challenges, and independently managing responsibilities.
- Stakeholder Engagement: Ability to interact professionally with executives, staff, and external stakeholders.
- Project Management Professional (PMP) certification or formal project management training is a plus.
Position Conditions
- Ability to pass a background check and pre-employment drug and alcohol screen
- Schedule Availability: Monday–Friday, with flexibility to work evenings or weekends as needed to support the Executive team.

Compensation
Range for this position is $6,353 to $7,941 (monthly)
