Spark Power, a trusted partner in energy in North America, is looking for a driven and detail-oriented Proposal Coordinator to support the development of competitive proposals for utility and industrial electrical projects across North America. This role will be reporting to the Director, Commercial Development and Proposals located in our Edmonton Office. This role plays a critical part in delivering compliant, compelling submissions for distribution, substation, and renewable energy projects. What will you do as the Proposal Coordinator?
- Lead and Coordinate Proposal Submissions
- Review RFPs, RFQs, and bid documents to identify requirements and submission criteria.
- Develop proposal schedules, compliance matrices, and submission checklists.
- Coordinate with cross-functional contributors including Operations, Engineering, Safety, Legal, and Finance to gather requirements.
- Draft and edit non-technical content such as project experience, team resumes, and corporate qualifications.
- Ensure all submissions meet compliance standards and are delivered on time through public and private bidding portals.
- Ensure Quality and Consistency
- Review and format proposal documents for clarity, accuracy, and brand alignment.
- Maintain version control and document integrity throughout the pursuit lifecycle.
- Support internal governance processes and approval workflows.
- Strengthen Proposal Infrastructure
- Maintain and update content libraries within SharePoint and Teams.
- Support standardization of templates, tools, and best practices.
- Track proposal activity within CRM systems to ensure accurate reporting and business development visibility.
- Support Prequalification Efforts and Manage Tender Inbox
- Complete prequalification questionnaires and compliance documentation for new and existing customers.
- Coordinate and track internal information and progress to ensure accurate and timely submissions.
- Monitor, triage, and distribute emails related to target and existing customer opportunities received to a general inbox.
- Participate in debriefs to gather and document customer feedback to support continuous improvement.
- Complete prequalification questionnaires and compliance documentation for new and existing customers.
- Coordinate and track internal information and progress to ensure accurate and timely submissions.
- Monitor, triage, and distribute emails related to target and existing customer opportunities received to a general inbox.

Do you have the Spark? Here’s what we’re looking for:
- 4–6+ years of experience in proposal coordination, marketing, or project support within construction, engineering, utilities, or professional services.
- Demonstrated experience supporting complex RFP and RFQ submissions.
- Strong writing, editing, and document formatting skills (advanced Microsoft Word proficiency required).
- Experience with public tendering portals (e.g., Merx, Bonfire, Bids&Tenders).
- Proficiency in Microsoft Office Suite, SharePoint, and Teams, and PDF editing software, Adobe Acrobat.
- Exceptional organizational skills and ability to manage multiple deadlines.
- High attention to detail and commitment to compliance accuracy.
- Post-secondary education in Business, Marketing, Communications, or a related discipline.
- Exposure to utility or infrastructure projects.
- Experience with Adobe Creative Suite (InDesign) and Bluebeam
- Familiarity with document control platforms (e.g., InEight).
