Job Summary:
In this Gate Clerk/Office Administrator role you will be responsible for answering all phone calls and directing calls, if needed while providing outstanding customer service. You will be responsible for running the scale house (gate traffic (inbound), invoicing, cash, and check handling (COD’s). This role will also handle various clerical functions.
Duties and Responsibilities:
- Answering phone calls and directing calls accordingly
- Run the scale house
- Provide clerical support
- Maintain spreadsheets (EXCEL)
- Must function and interact daily with plant/transportation personnel and comply with all safety requirements
- Other duties as assigned.

- Account collections and account reconciliation
- Out bound loads, including Grade, prepare workorders
- Bill of lading preparation
- Trailer inventory/log
- Broker log maintenance
- Production/Grade portal entries
- Light office cleaning – keeping workspaces within the office presentable
- Manage office supply inventory and purchasing, including break room supplies
- Inbound/outbound UPS mail & Federal Express
- Provide clerical support
- Maintain spreadsheets
Required Skills/Abilities:
- Bilingual English/Spanish; Preferred
- Proficiency in MS Word, MS Excel, and MS Outlook a must
- Communicate effectively, both written and verbally.
- Provide outstanding customer service, in person and on the phone
- Knowledge of operating standard office equipment
- Ability to prioritize responsibilities
- Problem solving skills
- Attention to detail
Education and Experience:
- High School Diploma or GED, required.
- 18 years or older
- 2 years experience working in a customer service role
- Strong willingness to work hard, reliable, attentive and attention to detail.
- 1-2 years experience with handling inbound phone calls
- 1-2 years experience handling financial transactions
