We are seeking a Junior Document Controller with 3–5 years of experience on large-scale projects to support document management processes across engineering, procurement, and construction disciplines. The successful candidate will ensure that all project documentation is properly received, controlled, distributed, tracked, and archived in line with company and client requirements.
Position of the job in the organisation: The Junior Document Controller will report directly to the Document Controller.
Principal responsibilities:
- Manage the receipt, review, registration, distribution, and archiving of incoming and outgoing project documentation.
- Maintain and update document control systems (SharePoint, Key360, or similar).
- Ensure compliance with project numbering systems, revision protocols, and transmittal processes.
- Track document review cycles, follow up with stakeholders to ensure timely responses.
- Support internal teams with document searches, retrievals, and proper document formatting.
- Generate document status reports, registers, and progress trackers for management.
- Ensure the latest revisions of documents are issued and obsolete versions are withdrawn.
- Assist in audits, handover documentation preparation, and project close-out requirements.
PERSON DESCRIPTION
Experience:
- 3–5 years’ experience in document control, preferably on large EPC, infrastructure, or construction projects.
- Strong knowledge of document control procedures, ISO standards, and QA/QC requirements
- Valid driver's license and willing to travel.

- Proficient in EDMS (e.g., Key360, or similar).
- Proficiency in MS Office Suite.
- Ability to work under tight deadlines with a proactive attitude.

By Month 3:
- I will have successfully established and implemented the agreed electronic document management system, including setting up initial document structures and workflows.
- I will have compiled, registered, filed, and archived the project's initial set of documents according to the company’s documentation management processes.
- I will have managed the transmittal process for issuing and receiving project documentation, ensuring all actions are documented and tracked.
By Month 6:
- I will be proficient in managing the documentation lifecycle, including maintaining compliance with company standards and contractual requirements.
- I will have provided Document Control support, helping the project execution team by explaining document management procedures and addressing user requests efficiently.
- I will have prioritised and scheduled documentation workflows effectively, contributing to an optimised document control support service.
- I will ensure all documents are consistently formatted, numbered, and revision controlled per project standards.
By Month 12:
- I can effectively manage the distribution, review, and approval processes for project documents, ensuring that they align with project requirements and deadlines.
- I will have maintained and updated relevant spreadsheets and databases accurately, and I will be capable of generating comprehensive reports from the document management system to track document status and progress.
- I will have demonstrated a thorough understanding and execution of all document management processes, contributing to the overall efficiency and success of the project.
