Position Purpose
The Executive Assistant provides high-level administrative and strategic support to the Chief Executive Officer (CEO) and serves as a critical liaison between the executive office, internal teams, and key external stakeholders. This position ensures the efficient management of executive priorities, office operations, and customer engagement initiatives. The role offers a unique opportunity for a motivated, business-oriented professional to develop leadership and analytical skills in preparation for future advancement toward a Chief of Staff or executive leadership role.
Primary Responsibilities
Executive Support
- Provide comprehensive administrative and strategic support to the CEO, including complex calendar management, prioritization of commitments, and preparation of executive briefings.
- Coordinate domestic and international travel arrangements, logistics, and expense reporting.
- Draft, edit, and manage correspondence, reports, and presentations with accuracy and professionalism.
- Anticipate needs, identify priorities, and ensure optimal alignment of the CEO’s time with organizational objectives.
Office Management
- Oversee the daily operations of the Ft. Lauderdale office, ensuring a professional, efficient, and organized work environment.
- Manage office vendors, contracts, supplies, and facilities maintenance.
- Plan and execute internal meetings, events, and executive visits.
- Partner with HR and IT to support onboarding, workspace management, and office infrastructure.
Sales Coordination
- Collaborate with the sales leadership team to align CEO engagement with key accounts and business priorities.
- Utilize Salesforce to track account activity, analyze engagement cadence, and recommend adjustments to optimize executive outreach.
- Coordinate CEO and executive travel for customer visits and key meetings, ensuring strategic alignment with corporate objectives.
- Facilitate collaboration with board members and executive sponsors to develop and maintain a two-quarter customer engagement plan.
- Apply analytical reasoning and business judgment to prioritize high-value customer interactions.
Minimum Qualifications
- Bachelor’s degree in Business Administration or a related field required.
- Minimum of five (5) yearsof experience providing executive-level administrative support.
- Exceptional organizational, time management, and problem-solving skills.
- Strong written and verbal communication abilities with professional presence and discretion.
- Proficiency in Microsoft Office Suite; experience with Salesforce or similar CRM systems preferred.
- Demonstrated ability to handle confidential information with integrity and professionalism.
Preferred Qualifications
- Experience in the renewable energy, technology, or engineering industries.
- Familiarity with sales operations, project management, or business analytics.
- Experience managing budgets, expenses, and cross-functional initiatives.
- Demonstrated interest in executive leadership and professional growth toward a Chief of Staff capacity.
