QualificationsAbout the Role:
The Office Support team at North Range Behavioral Health plays a vital role in creating a welcoming, organized, and responsive experience for the individuals and families we serve. As the first point of contact across all North Range Behavioral Health office locations, Office Support staff set the tone for the compassionate, high-quality care by delivering first-rate customer service to consumers, partners, and community stakeholders.
The Office Executive Supervisor supports the daily operations of our clinical and administrative services by coordinating and managing essential business activities within designated networks. The Executive Supervisor collaborates closely with program managers, supervisors, and organizational departments to oversee the administrative functions, personnel support, customer service operations, and financial processes. Through thoughtful organization, strong communication, and sound judgment, the Office Executive Supervisor ensures offices run smoothly, efficiently, and in alignment with North Range Behavioral Health’s mission to improve lives through accessible, person-centered behavioral health care.
This position will empower you to use independent judgment, creativity, and strong interpersonal skills to develop and maintain effective office systems and procedures, making a meaningful impact behind the scenes while supporting those on the front lines of care.
This position includes eligibility for a monthly performance bonus.
What You Will Do:
- Lead and improve office operations by developing procedures, systems, and workflows that support program success and align with organizational policies.
- Serve as a point of escalation for complex inquiries, conducting research, analyzing data, and preparing clear reports and documentation.
- Provide exceptional customer service by managing incoming calls and inquiries and interpreting policies, procedures, and applicable state and federal regulations.
- Partner with leadership on special projects, reports, presentations, and correspondence; draft, edit, and format professional documents and program materials.
- Oversee budgets and planning activities, monitor expenditures, and maintain accurate financial and accounting records.
- Coordinate and lead special projects that support departmental and organization-wide initiatives.
- Act as a liaison with internal departments and external partners to ensure effective communication and collaboration.
- Supervise assigned staff by coordinating schedules, approving time off, ensuring coverage, and enforcing standard agency procedures.
- Support hiring efforts by screening, interviewing, and onboarding qualified candidates in collaboration with clinic leadership.
- Train, coach, and support staff development, serving as a resource for office administration best practices. Manage performance through ongoing feedback, coaching, and documentation; address performance concerns in a timely and professional manner.
- Promote fiscal responsibility by supporting billing and collections processes and helping clients understand service fees and charges.
- Create, edit, and manage documents, reports, spreadsheets, and other materials using standard office software.
- Maintain accurate records, inventories, and data systems in compliance with organizational and regulatory standards.
- Plan and coordinate meetings, trainings, and conferences, including agendas, logistics, and follow-up activities.
- Monitor compliance requirements related to grants, certifications, referrals, and external agency standards.
- Engage daily with clients and stakeholders, representing North Range Behavioral Health with professionalism and care.
- Perform additional administrative and leadership duties as needed.
You’re a Great Fit If You:
- Bring a bachelor’s degree in business administration or a related field, or equivalent hands-on experience, and enjoy using your knowledge to keep operations running smoothly.
- Have at least two years of experience working independently in a similar role and at least one year of experience leading or supervising others, and feel confident in supporting both people and processes.
- Communicate effectively and build strong connections with diverse individuals; bilingual English/Spanish skills are highly valued and welcomed, but not required.
