ADMINISTRATIVE COORDINATOR

FLSA STATUS: Full-time, Hourly / Non-Exempt
POSITION SUMMARY: The Administrative Coordinator assists in supporting executive, development, and human resources functions by performing a variety of clerical and administrative tasks.
POSITION REQUIREMENTS:
- Provide daily administrative support for administrative staff.
- Computer literate in Microsoft Office as well as experience with database administration.
- Must be at least 18 year’s old with a valid driver’s license.
- Ability to maintain confidentiality and security of sensitive information.
- Ability to gather and analyze data, reason logically and draw valid conclusions.
- Strong attention to detail and proficient in Excel.
- Highly skilled in interpersonal, written and verbal communications.
- Possess strong writing skills; grammar, spelling, punctuation, and the ability to proofread a variety of written materials efficiently.
- Ability to work independently and to plan, organize, and handle multiple tasks as necessary.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Provide administrative support to the CEO, Development Director and Human Resources Director including scheduling and attending meetings and events, and preparing related correspondence.
- Assist the President & CEO and Development Director in building and maintaining donor relationships.
- Assist with HR responsibilities including recruiting, job fairs, onboarding, orientations, and attending community events on behalf of the zoo as needed.
- Assist the Development Director to maintain donor profiles, records and communications including the acknowledgement process. Assist with grant research, writing and reporting as well as fundraising initiatives like appeals, campaigns and sponsorships.
- Organize and prepare operational documents, materials and routine correspondence following necessary procedures.
- Research and report on assigned projects.
- Complete employment verifications and other Human Resources duties as needed.
- Perform other functions including but not limited to: surveys, updating forms, and manuals.
- Maintain familiarity with company policies and procedures in accordance with mandated laws and regulations.
- Relate positively with diverse groups of people (guests, staff and volunteers).
- Performs other duties as assigned.
OTHER DUTIES AND RESPONSIBILITIES:
- Complete special projects as requested by management staff.
- Assist with zoo-wide special events.
- Comply with all Binder Park Zoo policies and procedures.
- Participate in team-oriented zoo projects as needed.
SUPERVISORY RESPONSIBILITES: N/A
PHYSICAL AND ENVIRONMENTAL DEMANDS:
- Ability to work a flexible schedule including evenings, weekends and holidays.
- Ability to read, speak and write English in order to fulfill job functions in an understandable way.
