Position Title:Executive Assistant(Part-Time, Temporary)

Position Summary
We are seeking a highly organized and proactive Part-Time, Temporary Executive Assistant to support the Vice President, Commercial. This role is ideal for someone who can efficiently manage administrative tasks while adapting to a flexible, part-time schedule. The Executive Assistant will assist with travel coordination, expense organization, scheduling, and occasional support to the Inside Sales team in preparing reports and presentations. This is a 12-month contract position requiring availability 2-3 days per week with flexibility for limited hours during each day.
Key Responsibilities
- Coordinate travel itineraries, accommodations, and logistics for the Vice President to ensure seamless travel experiences.
- Organize and submit expense reports accurately for timely reimbursement.
- Assist with calendar management, including scheduling meetings, appointments, and resolving conflicts.
- Support a hybrid work environment, with an office presence about 50% of the time.
- Provide administrative support in a collaborative workspace in Nova Scotia.
- Handle confidential information with discretion.
- Act as a liaison between the Vice President and internal/external stakeholders to maintain effective communication.
- Draft, proofread, and format documents, reports, and correspondence with accuracy and professionalism.
- Prioritize and manage tasks for the Vice President to ensure alignment with business objectives.
- Conduct research and analysis on topics requested by the Vice President, delivering insights and recommendations.
- Use advanced Microsoft Excel and PowerPoint skills to create and manage reports, presentations, and other documents.
- Work with the Inside Sales team to prepare reports, analyze data, and develop presentations that support sales activities and strategic initiatives.
Requirements
- 4-6 years of experience in an administrative or executive support role, focusing on travel coordination, expense management, and scheduling.
- Proficiency in Microsoft Office, especially Excel and PowerPoint, with intermediate to advanced skills.
- Experience in data analysis, report generation, and presentation creation.
- Ability to work a flexible, part-time schedule, including an in-office presence as needed.
- Strong verbal and written communication skills, with the capability to interact professionally with colleagues, vendors, and senior management.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
