AME Procurement Administrative Assistant/Processes and Reporting is part of the AME Procurement organization and will play a dual role in administrative tasks along with our Procurement Excellence (PEX) department within AME. Providing organizational and administrative support of a complex and confidential nature. Interfaces with high-level internal and external contacts and performs assignments of a sensitive nature requiring a high level of independence, discretion, and professionalism.
Responsibilities:
• Collaborating with stakeholders to identify, develop, and implement best practices, standardized procedures, and process improvements across all procurement activities.
• Guiding process implementation, system implementation (with Analytics team) and ensuring change management. Work as PEX Partner in Global Procurement module teams, ensuring implementation of PEX initiatives and taking on the role as change agent within the team.
• Assist in coordinating travel arrangements for the Management Team when needed. This includes flight arrangements, hotel and rental car arrangements for both domestic and international travel; work with Assistants at other Vestas locations to organize travel between countries for Vestas employees.
• Organize meetings / books conference rooms / take and distribute minutes from meetings.
• Arrange food for lunch / dinner meetings for the procurement team when needed.
• Create and maintain database and spreadsheet files.
• Put together presentations (PowerPoint), spreadsheets, etc. for the Management team.
• And all other duties as assigned.
Qualifications:
• Proficiency in Microsoft Office Suite computer skills (Windows, Word, Excel, Power Point, Outlook).
• Ability to follow instructions.
• Ability to implement processes to efficiently conduct required administrative duties.
• Able to complete responsibilities in a timely, professional and quality manner.
• Ability to interact frequently with others in a professional, courteous manner.
• Flexibility with daily tasks and changing priorities.
Competencies:
• Associate of Arts degree - Business or similar 5 years' experience supporting managers / teams at an Executive Assistant level preferred.
• Intermediate to advanced skills with Microsoft Office (Excel, Word, PowerPoint, Visio and Outlook).
• Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
• Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
