Your role

You will drive the growth of our German Business Unit and be responsible for overseeing the daily operations of our office processes, ensuring a smooth and efficient workflow. As the team is working remotely all over Germany, you will need to adhere to this challenging environment. In detail your responsibilities:

Provide administrative support to ensure the effective operation of the back office functions in the office
Serve as the point of contact for all office-related inquiries and issues and liaise with Spanish team on daily basis matters as well as for trouble shooting
Manage and ensure that IT equipment is available for all new employees in different locations to support our ambitious onboarding plans in the next years
Oversee and manage office supplies for all employees in the company and manage and conduct the procurement process accordantly
Organize and maintain physical and digital files, ensuring documents are easily accessible and properly archived
Handling incoming and outgoing communications, including emails, letters, and phone calls
Responsibility for scheduling meetings and appointments on a regular basis and assist the different teams with administrative tasks as needed
Planning monthly team meetings and occasionally events
Handle billing functions, tracking invoices and update billing records with finance team

Your profile

We are looking for a highly organised, motivated, and proactive Office Manager to join our team. In addition to this you should bring the following:

Proven experience as an Office Manager or in a similar administrative role preferably in a multinational environment
Elevated level of discretion and confidentiality
Excellent time-management skills, adaptability, and attention to detail
Ability to manage multiple tasks and prioritize effectively
Ability to work independently and manage time effectively
Highly proficient in both spoken and written German and English
