Description

The Lab & Environmental Administrative Assistant will be responsible for providing administrative tasks and organizational support to the QC Laboratory and Environmental Department (75% Lab, 25% Environmental)

Responsibilities:

  • Serve as primary point of contact with laboratory and Environmental administrative duties.
  • Generate and distribute Finished Product COAs for domestic and export shipments.
  • Assist with COA management which includes:  Setup customer COA requirements in SAP, enter purchase product COA data in SAP, and electronic storage of incoming and outgoing COAs. 
  • Assist with new supplier setup. Serves as liaison with external vendors.
  • Issue and confirm lab and Environmental purchase orders to vendors; reconcile and process invoices for payments.
  • Order and stock laboratory supplies and help maintain chemical inventory.
  • Performs administrative functions such as entering data into SAP and scanning test results, accurately records test results, monitoring and closing SAP inspection lots, print daily blending / filling schedules, test sheets, and making labels for jars.
  • Ship samples to outsourced laboratories. Depending on skill level, this may include hazardous shipments.
  • Collect and document retain samples.
  • Assist with laboratory cleaning, organization, and safety initiatives.
  • Participates in Safety Audits.
  • Assist with filing and managing Safety Data Sheet (SDS).
  • Assist Environmental Depart with posting Environmental / Regulatory communications on Message Board, which include Environmental Objectives & Targets, GHS Hazards, Waste and Recycling information.
  • Assist with Environmental/Regulatory Compliance training record keeping and completeness.
  • Ability to work with hazardous materials while utilizing appropriate PPE. Seasoned knowledge in the procedures involving the use and handling of hazardous chemicals is preferred but not required for Entry level positions.
  • Supports routine 5S methodology in laboratory to maintain a constant state of compliance and inspection readiness at all times.
  • Assist with managing and tracking laboratory standards in asset management software.
  • Perform Xray Badge Reading and process reports.
  • Assist with maintaining the laboratory’s high-quality standards and IATF 16949.
  • Perform other duties as assigned.

Qualifications

Education
Associates Degree or higher in Biology, Chemistry, or related science preferred
Experience
Clerical and/or Lab preferred. 3+ years(s) experience.
Job Knowledge/Special Skills/Abilities
• Computer literate with capability in MS Office, data entry, email, internet browsers, and SAP (above average). Knowledge on internet research. Overall, good PC skills.
• Professional written and verbal communication skills. Positive attitude. Good interpersonal skills (promote harmony).
• Exceptional organization and record keeping skills. Must have strong initiative and strict attention to detail.
• Must be a self-motivated, team-oriented individual who can perform accurately in a fast-paced environment with a strong aptitude for multi-tasking.
