SUMMARY:

The Design Project Manager (Design PM) is part of the Design & Exhibit team at Shedd. Reporting to the Senior Creative Director, the Design PM works closely with the Production Manager and multiple Senior Directors within Design & Exhibits as well as the Directors in Marketing to define and manage work plans, resource needs, and timelines for multiple interdepartmental, overlapping, large-scale projects. The Design PM collaborates with and informs internal teams of project developments, determines project schedules, and helps determine appropriate staff resources.

To be successful in this role, a candidate must be highly organized and deadline driven with a high level of commitment to quality, have strong organizational skills, and able to remain focused in a fast-paced environment, and have excellent written and verbal communication skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Establish partnerships within the aquarium, creative teams, and other internal partners to understand collective scopes of work, expertise, and available team resources.
  • Partner with senior directors to evaluate intake requests for projects and understand how resources are assigned appropriately according to skillset, experience, and areas of expertise.
  • Manage scheduling and agendas for review of creative concepts and executions.
  • Build and maintain project schedules for multiple, overlapping, large-scale projects, update them as necessary, and effectively communicate those changes to the teams.
  • Use these project schedules to determine to identify opportunities for collaboration and support between teams.
  • Lead or actively participate in stand-ups and intake meetings, review project requirements, and reprioritize resources as needed to understand the scope and progress of projects.
  • Manage communications, timelines, and workflow between the creative teams, internal stakeholders, contractors, freelancers, and vendors across multiple projects as needed.
  • Help teams build out process documents, maintain records, and manage archiving projects to the server.

QUALIFICATIONS

Education:

  • Bachelor's degree required. Experience in a visual design field is preferred, but not required — a substitution of equivalent experience would be considered.

Experience:

  • 4 – 6 years of professional experience in a resource or project management position, working in an agency or brand environment or equivalent experience is preferred but not essential.
  • Project management experience with proven ability to successfully manage large-scale projects and initiatives.
  • Comfort working under accelerated timelines and multitasking to manage various projects.
  • Ability to communicate detailed information in a clear, organized manner.
  • Ability to effectively say “no” and address concerns.
  • Proficiency in project management software, Jira preferred
  • Proficiency in Microsoft Office and Adobe Creative Suite.
  • Ability to listen and understand team and project needs as well as a willingness to collaborate for solutions.
