The Project Manager for the Built Environment provides critical planning and logistics support to the Exhibits and Facilities teams. They will work closely with the Director of Exhibits and Director of Facilities to develop plans, establish timelines and milestones, and ensure projects are executed on time and within budget. The Project Manager will maintain clear communication with colleagues and teams internally and key external stakeholders such as city and municipality representatives, outside architects or designers, and contractors or specialists. Projects will range in size and scope, from gallery or facility renovations to large-scale museum building projects. The Project Manager for the Built Environment reports to the Chief Exhibitions and Experiences Officer.

Essential Duties and Responsibilities:

Project Planning and Execution:

Develop and implement project plans, including timelines, budgets, and resource allocation.
Coordinate and collaborate with cross-functional teams, including content developers, designers, architects, engineers, contractors, and other stakeholders, to ensure project goals are met.
Work with project leads to define scope, goals, and deliverables for new and upcoming projects
Oversee the entire project lifecycle, from initiation to completion, ensuring adherence to quality standards and deadlines.
Monitor and track project progress and milestones, identify and resolve any issues or risks that may arise.
Ensure effective communication and collaboration among team members and stakeholders involved in each project.
Manage relationships with external vendors, contractors, and suppliers to ensure timely delivery of materials and services.
Review agreements and contracts with outside partners, track progress to ensure partners are executing commitments.

Track and organize project files and documents.
Create and manage systems for document organization and retention.

Budgeting and Financial Management:

Develop and manage project budgets, ensuring effective cost control and resource allocation.
Provide accurate cost estimates for projects, including labor, materials, and other relevant expenses.
Monitor project expenditures, track financial performance, and prepare regular reports for senior management.
Identify opportunities to optimize project costs while maintaining high-quality standards.

Team Leadership and Collaboration:

Work with project teams members to foster a collaborative and high-performance work environment.
Lead project status meetings
Delegate tasks, assign responsibilities as appropriate to ensure effective utilization of team members' skills and expertise.
Collaborate with other departments and stakeholders to align project objectives with the museums' strategic goals.

Provides to supervisor:
1. Status reports detailing departmental initiatives
2. Project timelines and budgets, in line with parameters
3. Research for new procedures and solutions to challenges
4. Creates purchase orders, procures materials, and process invoices
5. Assume additional responsibilities as directed.

Qualifications

Qualifications:

Bachelor's degree in project management, museum studies, architecture, engineering, or a related field.
Proven experience as a project manager, preferably in a museum or cultural institution setting.
Strong project management skills, including the ability to develop project plans, manage budgets, and track progress.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Strong interpersonal and communication skills, with the ability to collaborate and build relationships with diverse stakeholders.
Knowledge of museum exhibits and facilities management principles and best practices.
Familiarity with construction and renovation processes, including working with contractors and suppliers, and knowledge of building codes.

Proficiency in project management software and tools such as Microsoft Project
Proficient in Microsoft Outlook, Word, Excel, Teams, PowerPoint.
Ability to adapt to changing priorities and work under pressure in a fast-paced environment.
Passion for arts, sciences, and education is highly desirable.

Excellent project management skills ability to delegate tasks to team members for maximum efficiency and able to work in a self-directed manner.
Solutions oriented ability to ideate, problem solve, and perform root-cause analysis. Ensure obstacles are dealt with in a timely manner.
Ability to organize, prioritize, pay attention to details, and manage multiple projects simultaneously to meet deadlines and adhere to budget restraints.
Ability to clearly communicate ideas and instructions orally, in writing, and visually. Also, must be able to maintain a positive and cooperative working relationships with clients, contractors, vendors, and all DPI departments.
Continuously expand and update professional knowledge and training skills to enhance individual and team innovation and productivity.
Meet all reasonable corporate, legal, service and quality standards.

Physical Demands:

Regularly lift and/or move up to 25 lbs., frequently lift and/or move up to 50 lbs.
Excellent manual dexterity.
Visual accuracy.
Regular travel to other DPI museums
